Information we collect Anonymous usage data (default)
- Purpose: Improve site reliability, tool quality, and user experience.
- What: Aggregated and event-level analytics such as page visits and tool events (visits, tool_open, tool_use). These events do not include identifying personal data.
- How: We use Matomo with IP anonymization enabled. Matomo events help prioritize improvements and measure feature adoption.
Account & paid-feature data (only if you create an account or purchase)
- Purpose: Enable saved history, exports, subscription management, billing, and support.
- What: Account email, display name, hashed password (if you create credentials), saved tool inputs/histories you choose to store, billing metadata (subscription status, transaction IDs). Payment processors (Stripe/PayPal) handle full payment details; we store only the minimum metadata required for billing and support.
- Retention: Account data and saved histories are retained for active accounts. Inactive accounts may be removed after 12 months of continuous inactivity unless you opt to retain data. You can request export or deletion at any time (see Contact).
Forms, support, and communications
- What: Email addresses and message content when you contact support, sign up for newsletters, or submit feedback.
- Use: Responding to requests, product announcements (only if opted in), and safety moderation.
- Opt-out: Marketing emails include an unsubscribe link; transactional emails (billing, account changes) cannot be opted out while your account is active.
Cookies and local storage
- Essential cookies: Required for session management, login, and site security.
- Analytics cookies/local storage: Used for anonymous analytics (Matomo) and to remember UI preferences. We do not use third-party tracking cookies for cross-site profiling.
- Manage cookies: You can disable analytics by blocking cookies in your browser or using your browser’s privacy controls. Disabling essential cookies may affect site functionality.
How we protect your data
- Access controls: Account passwords are stored hashed; access to account and billing systems is limited to authorized staff.
- Data minimization: We only store information necessary for the intended purpose (e.g., saved history only when you opt in).
- Secure transit and storage: We use HTTPS for all data in transit. Payment processing is handled by PCI-compliant third parties (Stripe/PayPal).
- Breach response: If a data incident affects personal data, we will notify affected users and regulators as required by law.
Third parties and what they see
- Matomo (analytics): Receives anonymized event data (visits, tool_open, tool_use). IP anonymization is enabled before storage.
- Payment processors (Stripe, PayPal, or other): Receive the details required to process payments (card/payment method info). We do not store full payment details.
- Hosting and infrastructure providers: May process server logs (minimal) necessary for operation and security. Logs are rotated and retained only as needed.
- No other third parties receive personal data except as necessary for legal obligations or with your consent.
Children and families
- Age limit: We do not knowingly collect personal information from children under 13. If you are a parent and discover that your child has provided personal data without your consent, contact us to request deletion.
- Family-friendly defaults: We avoid targeted profiling and advertising aimed at children. Paid features that store history are opt-in and clearly labeled.
Your rights and choices
- Access: Request a copy of your account data and saved histories.
- Correction: Ask us to update incorrect account information.
- Deletion: Request permanent deletion of your account and saved data. We’ll delete data within 30 days of verification unless legal retention obligations apply.
- Portability: Request export of your saved histories and account data in common formats (CSV/JSON).
- Marketing opt-out: Unsubscribe via the link in marketing emails or contact us.
- Analytics opt-out: Block cookies or disable analytics using your browser settings; Matomo’s opt-out feature may be provided on-site.
Account deletion and data export
- To request deletion or export, email privacy@easykate.com with your account email and brief request. For security, we’ll verify ownership before processing. Exports will be provided in CSV or JSON within 14 days of verification; deletions will be completed within 30 days unless otherwise required by law.
Data retention
- Active account data: retained while your account is active.
- Inactive accounts: flagged after 12 months inactivity and deleted after 30 days notice unless you opt to retain.
- Support messages and logs: retained for up to 24 months for operational and fraud prevention purposes, then purged unless required for legal reasons.
Legal bases (where applicable)
- Consent: For optional communications and marketing.
- Contract performance: For billing, subscriptions, and delivering paid services.
- Legitimate interests: For fraud prevention, site security, and product improvement using anonymized analytics.
Security notices for parents and caregivers
- We recommend supervising children’s use of the site and not sharing account credentials. If you provide a device to a child, consider using browser or OS-level parental controls and ensure no personal data is entered without consent.
Changes to this policy We may update this policy occasionally to reflect product changes or legal requirements. We’ll post the revised policy here with the updated effective date and, for material changes, notify account holders by email.
